Terms & Conditions

Studio time is billed in half-hour increments (one hour minimum). Prices are subject to change without notice. SoundTrax reserves the right to request full payment before start of work unless other arrangements have been made in advance. All billed charges are due on receipt for new clients, net 30 for established clients in good standing. A service charge of 1.5 % per month is assessed on past due accounts.

Payment for non-US clients is only in US dollars, net of any wire or currency conversion fees (including fees from SoundTrax’s bank). If needed, those fees will be added to the amount due from the client.

Session time is billable starting at the scheduled start time regardless of delays outside of SoundTrax’s control. If delay is caused by SoundTrax employee or SoundTrax-booked voice talent, session billing begins upon the later of: a) scheduled session start time or b) arrival of staff or SoundTrax-booked talent.

The client affirms that s/he is the rightful owner or assignee of material to be recorded or reproduced. SoundTrax is not responsible for copyright violations, talent or creative royalties, mechanical reproduction licenses, or any other liabilities for such material.

Hold policy. Client agrees to remain in close contact with SoundTrax when placing future session time on “hold.” In the event another party attempts to book the client’s held time, client agrees to respond to a telephone message from SoundTrax within 24 hours. SoundTrax may, at its discretion, cancel client’s time on hold if no response is forthcoming after leaving such messages, and make the time available to another party.

Cancellation. Cancellations are subject to a $210 “kill fee” unless notice of cancellation is given more than 24 hours in advance of booked time-in.

Office Hours. Normal office hours are 9am to 5pm, Monday – Friday. Studio hours by booking.

Client File Delivery. SoundTrax uses a secure cloud-based File Delivery System (via Dropbox.com) solely for the convenience of its Clients in evaluating recorded work and receiving such work via download. This System is not available for third-party access unless prior arrangements have been made with SoundTrax. Material posted via the File Delivery System is subject to removal after 30 days at the sole discretion of SoundTrax. If you need to specify an alternate file delivery method, please advise us prior to your session.

Indemnification. Client agrees to indemnify SoundTrax, Inc. and its officers, directors, agents or employees against and hold each of them harmless from any and all claims, costs, losses, detriments and expenses of any kind or nature, including, without limitation, attorneys’ fees and costs incurred by SoundTrax, Inc. by reason of any breach or alleged breach of any representation, warranty, or agreement made by client.

Taxes. All sales of music, sound effects and media are subject to NC sales tax (currently 7.25%) unless client has NC form E-595E, “Certificate of Resale” on file at SoundTrax.

Liability. For loss or damage to client from defects in material, equipment and/or negligence of SoundTrax personnel, SoundTrax will again perform the recording service without charge, but all damages, consequential or otherwise, are expressly assumed by client. SoundTrax makes no warranties, express or implied, with reference to services and/or personnel furnished by it, and shall not be liable for any delays in the delivery of supplies, materials or work product, nor failure to perform for any causes whatsoever.

Storage. We will exercise care in the handling and storage of all client properties left or stored on our premises. However, we cannot assume any liability for loss or damage to any such properties. Client’s materials will be stored at the client’s own risk for a maximum of one year.
